This Privacy Policy explains how Karla Soto DDS LLC, a Florida limited liability company doing business as Key Elements ("Key Elements," "we," "us"), collects, uses, and shares personal information when you visit keyelements.co, create an account, purchase a membership or event registration, or participate in our community. By using our website and services, you agree to this Policy.
Information you provide: name, email address, phone number, profession and practice information, country, and any other details you submit when creating an account, purchasing, registering for a webinar or event, or contacting us.
Payment information: payments are processed by our payment processor (Stripe). We do not store your full card number; we receive confirmation of payment, the card type, and the last four digits.
Community and session content: messages and content you post in our private community (Discord), your participation in live sessions (Zoom), and any cases or materials you submit for review or discussion.
Automatically collected: IP address, browser and device type, pages visited, and interactions with our site and emails, collected through cookies and similar technologies (see Section 5).
We use personal information to: provide and manage your membership and account; process payments and renewals; send transactional emails (confirmations, renewal reminders, access details); deliver live sessions, recordings, and community access; verify your membership status for Partner Benefits (Section 4); send marketing communications where permitted (Section 6); analyze and improve our website, content, and campaigns; and comply with legal obligations.
We do not sell your personal information. We share it only with:
Service providers that operate parts of our business on our behalf: our learning platform (LearnWorlds), payment processing (Stripe), community and sessions (Discord, Zoom), email marketing (Flodesk), and analytics and advertising (Google, Meta). Each provider receives only the information needed to perform its service.
Benefit partners: to allow you to redeem member benefits, we share your name and email address with the relevant partner (for example, Align Technology, Paramount Dental Studio, or Digital Smile Design) solely to verify that you are an active member. Your use of a partner's products or services is governed by that partner's own privacy policy.
Legal and safety: when required by law, legal process, or to protect our rights, members, or others.
Business transfers: if Key Elements is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction; we will notify you of any change in ownership.
4.1 Live sessions are recorded and made available to members on the platform. By participating with camera, microphone, or chat, you consent to being included in these recordings.
4.2 If you submit clinical cases for review or discussion (in live sessions, Discord, or otherwise), you must remove all patient-identifying information (names, dates of birth, record numbers, identifiable full-face photographs unless you hold the patient's written consent). You are solely responsible for complying with HIPAA and any patient-privacy laws applicable to your practice. Key Elements is not a HIPAA covered entity or business associate and does not accept protected health information.
We use cookies and similar technologies, including Google Analytics and Google Ads (site usage and conversion measurement) and the Meta Pixel (advertising measurement and audiences on Facebook/Instagram). You can control cookies through your browser settings, and opt out of personalized advertising through Google's Ad Settings and Meta's Ad Preferences. Blocking cookies may affect site functionality.
Email: with your consent or as permitted by law, we send news, educational content, and offers. You can unsubscribe at any time using the link in any marketing email. Transactional emails (receipts, renewal reminders, access information) are sent regardless, as they are part of the service.
SMS / WhatsApp: if you have opted in, we may send marketing or event messages by text or WhatsApp. Message and data rates may apply. Reply STOP to any message, or email us, to opt out at any time.
You may access and update your account information at any time through your account settings. You may also request access to, correction of, or deletion of your personal information by emailing hello@keyelements.co. We will respond within a reasonable period and in accordance with applicable law. We do not charge a fee for these requests. If you are located in Canada, you have comparable rights under PIPEDA and may direct questions or complaints to us at the same address.
We keep personal information for as long as your account is active and as needed to provide services, comply with legal and tax obligations, resolve disputes (including payment disputes), and enforce our agreements. Purchase and terms-acceptance records are retained for as long as necessary for these purposes.
We use commercially reasonable physical, technical, and administrative safeguards to protect personal information, and our service providers maintain their own security programs. No method of transmission or storage is completely secure; please protect your account credentials and notify us immediately of any suspected unauthorized access.
Our services are operated from the United States, and your information is processed and stored in the U.S. If you access our services from Canada or elsewhere, you consent to the transfer and processing of your information in the United States.
Our website and services are intended for dental professionals and are not directed to anyone under 18. We do not knowingly collect personal information from minors.
We may update this Policy from time to time. The updated version will be posted on this page with a revised "Last updated" date, and material changes will be communicated by email or a notice on the website.
